6 MONTHS BEFORE
1.Appoint a coordinator(s) and organize teams (finances, food, activities, etc.)
2.Poll the family: One-day reunion? Two-day reunion? 3.Location & date preferences?
4.Research availability of reunion locations
5.Set your budget & determine payment methods
6.Start pulling together an invitation list
7.Start pulling together family recipes
8.Research caterers (if you are using one)
9.Contact local hotels and reserve blocks of rooms for out of town visitors
5 MONTHS BEFORE
1.Choose and reserve the location
2.Choose and pay the deposit for the caterer
4 MONTHS BEFORE
1.Start menu planning. Who will bring what?
2.Design/create invitations
3.Keep working on a master invitation list. Ask family members for names and addresses
3 MONTHS BEFORE
1.Confirm menu details and provide the caterer with family recipes so they can practice
2.Make your family favorites or start delegating food preparation among family members.
3.Start creating to do lists and supplies needed lists.
2 MONTHS BEFORE
1.Mail invitations
2.Start delegating responsibilities (who will grill, who will take pictures, who will take on
the kidfs activities, etc.)
1 MONTH BEFORE
1.Start purchasing non-perishable items: dry goods, decorations, supplies, etc. Watch
for sales to get the best prices
2.Call family members who have not RSVP'd
3.Plan activities for the adults and children
4.Relax and have fun!
